- Requesting Unit must fill out Eblast & Web Update Request Form on the web (https://bit.ly/CPO-EWEB) at least three days before the scheduled e-blast.
- Specific instructions:
• Indicate preferred date & time to e-blast
• Re-eblast is discouraged to prevent flooding of email unless necessary (e.g. survey, registration, evaluation). Requests for re-eblast are subject to CPO approval to control email traffic.
• Proofread and submit own articles.
• Attach high resolution pubmat in JPG or PNG. (Maximum of four photos) - EBLAST – The following may be requested for e-blast:
• Announcements from all the units of the university
(Achievements, Memo, Policies, etc.)
• Webinars/seminars or special courses offered - Student organizations must secure endorsement/approval from OSA.
- As a general rule, e-blasts will be disseminated once only.
- CPO will confirm the schedule of posting.

- Fill out the Lay-out Request Form found on the web (https://bit.ly/CPO-LRF) for proper tracking and queuing as the CPO Team works on a first-come, first-served basis.
- CPO will signify approval of the request.
- Requests should be made at least ONE (1) week before the intended date of use.
- Guidelines on External Tarpaulin Installation
The Communications and Promotions Office (CPO) oversees the approval of external tarpaulin installation
XU units/offices may request intallation for institutional announcements, events, or activities relevant to the external community and/or for university advertisements and promotions. The duration of tarpaulin displays is limited to a maximum of fifteen days, but a request for an extension can be made and is subject to the CPO's approval.

The online form requires the follow:
a. Design of the tarpaulin
b. Duration of the display
c. Location
To maintain XU's image and branding, units/offices must submit their materials to the CPO for approval. Requests are approved on a first come, first served basis.
Once approved, the requesting unit/office may print the tarpaulin and send it to PPO for posting
*CPO reserves the right to replace tarpaulins in favor of the Office of the President/Communications and Promotions Office.

- Media Request
Media Relations | The Communications Office shall act as focal point for all media-related matters. |
Media Releases | The Communications Office should be informed of any news or event that is publicized to the press. Request for press releases should be submitted to This email address is being protected from spambots. You need JavaScript enabled to view it. three weeks in advance to have ample time for follow-up and distribution. |
Media Interviews on Campus | Requests for interviews from the media should be directed to the Communications Office. The Office shall arrange the meeting between the media and the person to be interviewed.
Members of the media are not allowed to take shots of the campus or conduct interviews without permission from the Communications Office. If you have invited the media, please let the Communications Office know at local 9097. |
