FAQs about AY 2024-2025 COLLEGE TESTING, ADMISSIONS & SCHOLARSHIPS

1.  What is the difference between admissions and enrollment?

To begin your studies at Xavier Ateneo, you must first apply for admissions to an undergraduate program before you can enroll in subjects in this program. Only when your admissions application is approved can you enroll in subjects. The Testing & Admissions Office (TAO) takes charge of the admissions process while the Registrar’s Office (RO) is in charge of the enrollment.

You need to apply for admissions if you are:

  • a freshman (a senior high school graduate who has not enrolled in college)
  • a transferee (previously enrolled and taken units in another college or university)
  • a returnee (an admitted student in Xavier Ateneo who intends to enroll for a particular semester but was not enrolled during the previous semester/s)
  • a 2nd courser (completed an undergraduate program and will be enrolling in another program)

You apply for admissions only once while enrollment needs to be done every semester until program completion.

2.  I am a freshman/transferee applicant, how do I apply for admissions?

  • All Incoming Freshmen and Transferees are required to TAKE and PASS the Xavier Ateneo Entrance Examination for Higher Education (EEHE) administered by the Testing & Admissions Office. Head over here for the online registration process: https://www.xu.edu.ph/testing
  • After verification, the Testing & Admissions office will issue a Test Permit at least 3 days before the chosen examination date. The examination will be conducted onsite.

Please wait for an email about the release of the test result before applying for your course preferences in Xavier Ateneo's admissions application.

3.  Are there exam cutoff scores for board programs?

  • Yes, cutoff scores are announced during the orientation sessions conducted by the examiner on the exam day. Please note that some programs may also require applicants to undergo an interview or submit additional documents for further evaluation before final acceptance into the program. Be sure to regularly check your inbox for emails containing instructions on interview schedules. Follow the provided instructions online through your account.

Incomplete document submissions may result in delays or, in some cases, rejection of your application. For updates on the status of your application, please contact the school or college to which you are applying.

Passers of the Xavier Ateneo Entrance Examination for Higher Education (EEHE) may proceed to select their preferred course in the program preference menu on their online account and click SAVE for confirmation.

4.  I am transferee from another school, what documents should I prepare?

  • You need to secure the following documents from your previous school:
  1. Transcript of Records,
  2. Transfer Credentials (formerly called Honorable Dismissal), and
  3. Good Moral Certificate.

You will be required to upload these documents online upon registration for the verification process. The hard copies of these documents must be submitted to the University Registrar during the enrollment process for Term activation.

5.  I did not enroll during the previous semester/s and I intend to re-enroll for a particular semester. What should I do?

  • You are considered as a RETURNEE applicant. You need to undergo a re-admissions evaluation and obtain approval from your previous school/college and the Registrar’s Office. 8.  I already have my application ID number, but I cannot access the admissions portal, what should I do?

  • The admissions portal can be accessed once the test results are available. For scholarship exam takers, it may take up to a month or more for the results to be released.

    For regular entrance exam takers, results are typically available within ten working days from the exam date. You will receive an email notification once the test results are available, along with instructions on how to proceed with the online admissions process. Until then, access to your online account in the admissions portal will not be possible.

9.  I still have not received my ADMISSIONS CLEARANCE, what should I do?

Delay in the release of the admissions clearance may be due to any of the following:

  • You were able to create an online account for Admissions but you did not completely fill out the application form or did not confirm your program preference. Incomplete applications are PENDING until all required information and/or documents are submitted.
  • Your application is being processed. Please allow 3-4 working days for the processing of your application, after which you will be emailed the  Admissions clearance.
  • You are placed on a SCHEDULE FOR INTERVIEW status because the board program that you are applying for requires additional requirements before the final acceptance to the program. You have to inquire with the respective  school/college on the status of your application.
  • You are put on CONDITIONAL status because you do not meet the entrance exam cutoff score requirement of the board program you are applying to. You have to inquire with the school/college on the status of your application. 
  • You are placed on a WAITLISTED status because you did not meet the general cutoff score requirement of the program you are applying for. This will be subject to the Dean’s approval based on availability of slots to the program applied.

All successfully processed applicants will receive an Admissions Clearance via email. The Admissions Clearance serves as proof that you are officially accepted into the program you applied for. This document is required to proceed with the down payment and enrollment process.

10.  I took the college scholarship/entrance examination conducted in  January-February. My score is not eligible to apply for a scholarship but qualifies me for admissions. Am I eligible to apply to a board program?

  • To apply for a board program, you must meet the required cutoff score for that specific program. If you did not meet its cutoff score, you can only apply to the programs displayed in your admissions portal. 

11.  Can I retake the Entrance Examination for Higher Education (EEHE) for the chance of getting a higher score and, consequently, qualify for admissions to a board program?

12.  I took the Entrance Examination for Higher Education (EEHE) and my score did not meet the general cutoff score for admissions to ANY of the programs in Xavier Ateneo, what should I do?

  • You may take the Alternate Entrance Examination; however, you will not be qualified to apply for admission to board programs even if you pass the said exam.

  • The Office of Scholarship & Grants will send a notification if you qualify for any of the scholarships offered by Xavier Ateneo. Qualifiers will also receive an email with information about the scholarship they have been awarded, along with application instructions and other relevant details. 15.  How do I know if I have been awarded a scholarship?

  • Scholarship awardees are emailed a Notice of Scholarship Award (NSA). It contains information about the scholarship, the grant coverage, and requirements for maintaining the award. The NSA can be submitted in lieu of the validated down payment slip requirement during enrollment.

Change Program Process for Incoming Freshmen.

Procedure for Processing of Change Program

   These general rules are non-negotiable when processing requests for change program

  1. Returnee-shiftees and upperclassmen students are not eligible to apply. They should consult their respective schools/colleges or departments for the relevant procedure for shifting of program. The request for a change program is exclusive to incoming freshmen who are still in the admissions phase.
  2.  A student is allowed to file a request for a change program only once.
  3. Request for change program only applies to applicants who are not yet matriculated for the downpayment of tuition.
  1. For Board programs, the applicant’s percentile rank score must meet the required minimum cutoff percentile rank score of their chosen new program.
  1. AB/BS Psychology and BS Nursing programs will not accept applicants for a change program request.

 

Step 1 

Open your account in the online application portal and click on the tab Apply for Change Program. Select the new program you are applying apply for and comply with the indicated requirements in the portal and click SAVE for confirmation. 

Wait for the notification approval of your change program request before you proceed to Step 2. Upon your approval, kindly proceed with the resubmission of your admissions application. You may check on the progress of your application in the portal.

IMPORTANT: There are college programs that require a dean’s interview before final approval of application. Failure to attend the scheduled interview and/or submit additional requirements may result in the rejection of your admissions application.   

  • All successfully processed applicants will be emailed a NEW ADMISSIONS CLEARANCE. It serves as proof of admission to your chosen college course. The admissions clearance is also required for Step 2 below.

Step 2

Pay the required down payment of Php3,000.00. Online and over-the-counter payment options are available. Please check the online application portal for the list of accredited banks and payment centers.

IMPORTANT: If you are a recipient of a Xavier Ateneo Scholarship, you may skip this step and proceed to Step 4 below. Register for the online enrollment and upload the Notice of Scholarship Award (NSA) in lieu of the validated down payment slip.

  • Please wait for a payment clearance notification before proceeding to Step 3 below.

Step 3

Online Enrollment and Offer Acceptance 

Prepare clear photos or scanned copies of the following documents for uploading and accomplish all fields of the online form correctly:

  1. a) Clearance Slip from the XU Clinic
  2. b) Signed Data Privacy Consent Form (downloadable from the enrollment registration form) 
  3. c) Self-Declaration Form for Special Needs, if any

IMPORTANT: Submit the hardcopy of your report card (with remarks eligible for college admissions and duly signed by the School Principal) or Transfer Credentials (for Transferee), PSA Birth Certificate, and Clearance Slip from XU Clinic to the University Registrar, Lucas Hall Ground Floor. You will not be term-activated (i.e., you cannot enroll your subjects) unless these documents are received and evaluated by the University Registrar.

  • After submitting the requirements for enrollment, kindly wait for the email about the status of your enrollment registration. If successful, you will receive the login credentials to your Student Lifecycle Management and Information System (SLMIS) account. Class schedules and other related information can be viewed in the SLMIS.
